Terms of service

1. Acceptance and scope

These terms are a binding agreement between you and Ondx. If you do not agree, do not use the platform.

The terms apply to every account type: the office and its staff, personal accounts for owners, tenants, and buyers, maintenance providers, visitors, and public use of the marketplace and marketing pages.

These terms may be supplemented by the plans page at subscription, by in-app policies when a module is enabled, and by the privacy policy. If there is a conflict about personal-data processing, the privacy policy controls on that point only.

2. Definitions

For these terms:

• “Platform” or “Ondx” means the cloud property-management service provided by Ondx.
• “Office” means the subscribing real-estate entity and the contracting customer.
• “Unit” means an operational real-estate unit in the portfolio and is the primary plan-capacity limit.
• “User” means an office-staff seat with a role and permissions, not an owner, tenant, or visitor account.
• “Office / branch” means an operating branch inside the office workspace and counts toward the plan’s office limit.
• “Personal account” means an owner, tenant, or buyer account activated after the office records that person.
• “Add-on” means capacity above the plan inclusions, billed at that office’s plan rates.
• “Operational data” means records the office or its counterparties enter in the workspace: properties, units, contracts, installments, payments, maintenance, listings, and files.

3. The service and Ondx’s role

Ondx is a cloud SaaS platform that helps real-estate offices in Saudi Arabia manage portfolios, contracts, installments and collections, owner/tenant/buyer portals, the public marketplace, a maintenance network, reporting, and operational finance.

Ondx is a technology provider only. It is not a real-estate broker, not a party to rental, sale, or investment contracts, not a guarantor of collection or closing, and it does not own properties listed or managed on the platform. It does not replace a brokerage license or the office’s legal duties.

Some modules — including advanced finance such as VAT, e-invoicing, security deposits, owner distributions, bank reconciliation, and common-area charges — may be enabled for an office when needed. A module being unavailable or disabled is not a breach if the service remains property management.

Ondx does not warrant occupancy, collection rates, commercial outcomes, or the office’s compliance with tenancy, tax, or data-protection duties toward its counterparties.

4. Account types

The platform has four separate account paths, each with its own sign-in:

• Office account: for the office owner and staff inside an isolated workspace.
• Personal account: for an owner, tenant, or buyer, after the office records them and they activate through the dedicated path.
• Maintenance-provider account: for the service network; the provider sees available or assigned jobs only.
• Visitor account: a lightweight market account for browsing and inquiries; it does not open a portfolio or office permissions.

5. Office accounts and staff

When an office is registered, a main branch is created and the registering user is linked as office owner. The office owner is responsible for inviting staff, assigning roles, and managing branches.

Staff roles are office owner, office manager, accountant, collection officer, maintenance officer, and staff. Owner and manager can access every branch. Other roles may be limited to selected branches.

Sign-in credentials may not be shared. Each staff member must have a separate account so the audit trail and approvals remain attributable.

The office owner may require multi-factor authentication for staff. Approvals may be configured for sensitive actions, including activating, renewing, or amending a contract, approving an expense, and reversing or refunding a payment.

Ondx may suspend a user or office if activity threatens data security, service stability, or these terms.

6. Personal accounts and portals

Owners, tenants, and buyers do not create an operating account from public pages independently of the office. The office records the person in its workspace. The person then activates an account after the verification the office requires.

An owner sees records tied to their ownership: properties, contracts, financial summary, and related maintenance. A tenant sees contracts and installments, can open maintenance, and can pay when a payment gateway is enabled. A buyer follows sale contracts and office communication, without a rental installment path or the tenant maintenance module.

No party can access another office, or another party’s records inside the same office. What a portal shows depends on the office correctly linking the unit, contract, and installments.

The office is responsible for the accuracy of a party’s data before activation and for the legal basis of that collection, including any identity verification the office requires.

7. Maintenance providers

A provider joins with a separate account and sees unassigned available requests and assigned jobs. The provider does not enter the office workspace and does not see contracts, collections, or unrelated parties.

The office remains responsible to the owner and tenant for the provider it chooses and for service quality. Ondx does not warrant provider performance and is not a party to the maintenance arrangement between the office and the provider or tenant.

A provider account may be suspended for a breach of these terms or a risk to the network.

8. Marketplace, listings, and sales pipeline

An office may publish listings for available properties or units. Visitors see only what the office chose to publish. Internal contracts, installments, party accounts, and team permissions are not shown on the market.

Published listings may be browsed without an account. Sending an inquiry or viewing office contact details may require a sign-in. Inquiries reach the listing office and may be converted into an internal sales lead.

The market may not be used for fraud, misleading content, or unlawful activity, or to advertise a property the office is not authorized to offer. The office is responsible for listing accuracy, images, and contact boundaries.

Any syndication to partner platforms, if enabled, is also subject to those platforms’ terms. The original listing remains the office’s operating record.

9. Subscriptions, limits, and add-ons

Subscriptions are tied to an office. The listed price is the full package price and includes a defined number of units, users, and offices or branches. Capacity above those inclusions is billed as an add-on at that office’s plan rates, not another plan’s rates.

The public standard plans are Start, Professional, and Scale. Custom is for portfolios above 300 units, for user or branch needs outside those plans, or for enterprise access such as SSO, SCIM, and an IP allowlist. Current prices and limits are published on the plans page and form part of the active commercial offer.

Add-on rates decrease on higher plans. Upgrading is cheaper than buying add-ons to reach the next plan’s included capacity. Add-ons are intended for limited overage only.

A per-unit figure on the plans page is an equivalent for comparison. Included capacity is paid inside the package. Add-ons apply only after included counts are exceeded.

An office subscription may not be used to host or resell the service to another office without a separate written agreement with Ondx.

10. Billing, tax, and renewal

Billing may be monthly or yearly. A yearly subscription is prepaid once for 12 months at a value close to 10 months. Monthly figures shown in yearly mode are equivalents for comparison; the invoice is annual.

Displayed prices are in Saudi Riyal and exclude VAT unless an invoice states otherwise. VAT is added under applicable Saudi rules when the Ondx subscription invoice is issued.

Ondx subscription fees are separate from rent, commissions, or deposits the office manages with its counterparties. The platform fee is not automatically deducted from tenant rent.

Upgrades and add-on changes follow the in-app subscription policy. If a material limit on an active plan changes, Ondx will explain it through the platform or approved channels.

The plans page does not advertise a standalone public free trial at zero price. The subscription status after registration is what appears inside the office account.

11. Expiry and read-only access

When a subscription ends, a grace period defined on the office subscription applies. After grace, the office becomes read-only: data and reports remain visible, but create and edit actions stop until renewal.

Expiry or read-only status is not an instruction to delete office data automatically. Deletion, export, or anonymization follows the privacy and retention policy after verification.

The office is responsible for renewing in time if it wants continued write access. Ondx is not liable for create or edit actions stopping after grace ends.

12. Office responsibilities

The subscribing office is operationally and legally responsible for its data, contracts, payments, and relationships with owners, tenants, buyers, staff, and service providers.

• Accuracy of property, unit, contract, installment, payment, listing, and document records.
• Obtaining required legal and contractual consents before entering counterparties’ data or inviting them to a portal.
• Managing team roles and branches, and not sharing accounts.
• Complying with applicable Saudi laws, including real-estate, tenancy, personal-data protection, and tax rules where they apply.
• Not entering more data than operationally needed, and not publishing sensitive data on a public listing.
• Using structured import carefully and checking property, unit, and party links before generating installments.

13. Contracts, collections, and finance

The platform supports rental, sale, and investment contracts, installment generation, payment recording, expenses and commissions, and reports including rent roll, AR aging, lease expiration, vacancy, and collection efficiency, with CSV export where available.

An office may configure a grace period and percentage or fixed late fees. That is an office operating setting, not an Ondx fee. Any dispute over a fee or installment stays between the office and the relevant party.

Payments may be recorded manually, and an electronic gateway for installment checkout may be available when enabled in the office environment. Ondx is not a bank and is not a custodian of party funds unless a separate written agreement says otherwise.

Financial disputes between an office and a tenant, owner, or buyer are handled between those parties. Advanced finance modules, if enabled, are office operating tools and are not a substitute for a licensed accountant, a tax advisor, or filings with ZATCA.

14. Acceptable use and security

The platform may be used only for lawful property-management and real-estate operations.

• Do not enter misleading or unlawful data, or misuse portals or the marketplace.
• Do not attempt to breach the service, bypass permissions, disrupt systems, or run security testing without written permission.
• Do not access an office or record without authorization, or attempt to break isolation between offices.
• Do not resell the service or host another office without written agreement from Ondx.
• Do not use the platform to target children or collect their data.
• Keep credentials confidential and report unauthorized use without undue delay.

15. Data, ownership, and license

Operational data entered by an office remains operationally owned by that office. Ondx grants a limited, non-exclusive license to use the platform during the subscription under these terms.

The office grants Ondx an operational license to process that data to provide the service, support, security, abuse prevention, and compliance with binding legal requests.

Each office is an independent workspace. One office cannot see another office’s data. Ondx operational access is limited to the purposes above and does not include selling the data or using it for third-party advertising.

Data categories, legal bases, and rights of access, correction, and deletion are set out in the privacy policy under the Saudi Personal Data Protection Law.

16. Intellectual property

The platform, marks, interface, code, and documentation belong to Ondx or its licensors. You receive only a limited right to use the service under the subscription.

Content the office uploads — including listing text, images, and files — remains attributed to the office. The office warrants it has the right to upload and publish that content. If office content causes a third-party claim, the office bears that claim to the extent permitted by law.

17. Availability, maintenance, and product changes

We aim for stable operation. Scheduled or urgent maintenance, security updates, and product improvements may occur. Features may evolve within the same property-management service.

Short maintenance windows or events outside reasonable control are not a material breach if Ondx acted with reasonable care.

A given module may depend on office enablement or the operating environment. The FAQ and plans pages are commercial and operational explanations. They do not expand warranties beyond these terms.

18. Disclaimers and liability

The service is provided with reasonable care on an as-available basis. Ondx does not warrant uninterrupted or error-free operation at all times, and does not warrant commercial outcomes, occupancy, collection results, or the accuracy of data the office enters.

To the fullest extent permitted by law, Ondx’s liability to an office will not exceed the subscription fees paid by that office in the twelve months before the claim, and will not include indirect or consequential damages, lost profits, or data loss caused by the office’s failure to keep reasonable backups or to manage permissions.

Nothing in this section excludes liability that cannot be excluded under the laws of the Kingdom.

19. Office indemnity

To the extent permitted by law, the office will bear claims arising from its data, contracts, listings, counterparties, or its staff’s use of the platform in breach of these terms or applicable law, including entering data without a legal basis or publishing a misleading listing.

This does not relieve Ondx of its own duties as a technology provider under these terms and the privacy policy.

20. Termination and suspension

An office may stop using the service and decline renewal. Ondx may suspend or terminate access for a material breach of these terms, a security risk, a binding legal request, or use that threatens office isolation or service stability.

On suspension or termination for breach, the office is not entitled to a refund for unused time unless the law requires it or the parties agree in writing.

After termination, the privacy and retention policies govern whether data is kept, deleted, or anonymized. Provisions that by nature should survive remain in force, including liability limits, intellectual property, office indemnity, and governing law.

21. Changes to these terms

Ondx may update these terms. An update takes effect on the date it is published on this page or on a later date stated in the update, as shown in the effective-date line at the top of the page.

Continued use after an update takes effect is acceptance of the update. If an update changes a material limit on an active plan, Ondx will explain it through the platform or approved channels.

22. General

If a provision is invalid or unenforceable, the remaining terms stay in force. Failure to exercise a right is not a waiver.

An office may not assign the subscription to a third party without Ondx’s written consent. Ondx may assign in a reorganization or service transfer while remaining bound by the material obligations.

These terms, together with the privacy policy and the commercial offer on the plans page, are the entire agreement on use of the platform and supersede prior oral understandings on the same subject.

These terms are provided in Arabic and English. If the two versions conflict, the Arabic version prevails for users in the Kingdom of Saudi Arabia.

23. Governing law

These terms are governed by the laws of the Kingdom of Saudi Arabia. Disputes should first be raised through approved contact channels, then before the competent courts in the Kingdom.

The platform is a professional service for real-estate offices and their adult counterparties. We do not target children in registration or marketing.
